Turn ReportBeam e-citations into court dates, reminders, and payments

eCourtDate picks up your agency's ReportBeam citation files in real time and creates the case, the court date with text reminders, and one itemized payment for every ticket. Officers change nothing in the field.

One ticket in, five records out

Every citation an officer writes in ReportBeam becomes the linked records your clerks would otherwise key in by hand: the citation itself, the client profile, a case per chargeable violation, the court date, and the bill. Each record links back to the citation, so nothing drifts out of sync.

The phone number on the ticket becomes the person's text-message contact, so court date reminders start with the first sync. Reminders like these reduce failure to appear (FTA) by up to 50%.

Warning tickets are archived for the record and never create a case, a court date, or a bill.

How the sync works

The moment tickets land on your ReportBeam file server, eCourtDate turns them into the records your court already needs.

  1. 1

Officers write tickets as they do today

Citation files and ticket PDFs land on your agency’s ReportBeam file server, exactly as they do now. Nothing changes at the roadside.

  2. 2

eCourtDate picks up new files in real time

The sync connects over your secure FTP credentials, compares what is on the server against what has already been imported, and processes every new file as it arrives. Connections retry 3 times, and a problem with one ticket never stops the run.

  3. 3

    Each citation becomes court-ready records

The person on the ticket becomes a client profile, and each chargeable violation opens a case numbered in your agency’s format. Criminal citations keep the court-issued docket.

  4. 4

Reminders and the bill go out on their own

The court date on the ticket becomes a scheduled court event with your default location and judge, text reminders start immediately, and fines combine into one payment due on your policy, 30 days by default. Warning and zero-dollar tickets are never billed.

  5. 5

    Your staff get the receipt

After every run, designated staff receive a completion report covering the files, citations, clients, cases, court dates, and payments created, plus any errors. Original CSVs and ticket PDFs are archived in secure cloud storage.

Built for how agencies run citations

Every safeguard your clerks would ask about is built into the sync.

  • Duplicate-Proof by Design

Files, citations, clients, court dates, case numbers, and payments are all checked before anything is created. A re-sent file or a repeated run never double-creates a record.

  • Case Numbers Your Way

Cases are numbered in your agency’s format, sequentially, restarting each year, and a number is never reused. Criminal citations keep the court-issued docket.

  • Reminders From the First Sync

The phone number on the ticket is saved as the person’s primary text contact, so court date reminders begin without any staff action.

  • One Itemized Payment

Fines across every chargeable violation are totaled into a single bill with your configured due window, payment type, and payment portal.

  • Warnings Handled Correctly

Warning tickets and warning-only charges are archived for the record but never create a case, a court date, or a bill.

  • A Report After Every Run

Designated staff receive a completion report with everything created and any errors itemized. Errors never stop the sync.

Frequently asked questions

How often does eCourtDate sync with ReportBeam?
eCourtDate syncs with ReportBeam in real time: new citation files are picked up as they arrive on your file server, so a ticket written at the roadside is in the platform right away. Each run is independent and safe to repeat: anything already imported is recognized and skipped.
Do our officers have to change anything in the field?
No. eCourtDate works from the citation files ReportBeam already produces, picking them up from your file server over secure FTP. Officers keep writing tickets exactly as they do today.
What records does eCourtDate create from each citation?
eCourtDate creates the citation record, a client profile for the person cited, one case per chargeable violation, a court event when the ticket lists a court date, and one payment totaling the fines. Every record links back to the citation, so nothing drifts out of sync.
How does eCourtDate prevent duplicate cases and double billing?
eCourtDate uses the citation number as the key and checks files, citations, clients, court dates, case numbers, and payments before creating anything. A re-sent file or a repeated run never creates a duplicate.
How is our citation data secured?
eCourtDate is CJIS compliant and hosted in AWS GovCloud. Files transfer over your secure FTP connection, original CSVs and ticket PDFs are archived in secure cloud storage, and every sync ends with a completion report, so there is a full audit trail from the field to the court record.
How do text reminders and consent work?
eCourtDate saves the phone number on the ticket as the person’s primary text contact, so court date reminders start with the first sync. Reminders like these reduce failure to appear (FTA) by up to 50%, and opt-out and quiet hours are enforced automatically on every message under TCPA. The ReportBeam export does not include email addresses; email reminders begin once an email contact is added in eCourtDate.
We already use eCourtDate. How do we turn this on?
eCourtDate enables the ReportBeam integration as a configuration change, with nothing to install in the field or at the courthouse. Share your secure FTP credentials, completion-report recipients, and case number format with our team, and the sync starts as soon as it is enabled.
